Can an answering service book consultations on my calendar?
Yes. LexFlo's receptionist checks the firm's calendar during the call, offers one open time on the day the caller asks for, books it, and confirms it once. Nothing is described as booked until the calendar write has succeeded. For firms using our guarded booking setup, callers whose details don't match the contact on file are referred to the office for scheduling. Changes to an existing consultation, callers using someone else's phone, and matters the firm doesn't take go to the office.
How a booking goes
- Sara takes the caller's name, callback number, what the matter is about, and an email for the confirmation.
- She asks which day works, then offers one open time on that day. She honors morning, afternoon or evening preferences and only offers times the calendar returns.
- She books first and confirms second. If the booking cannot be completed, she says the office will confirm the time, and the attorney's email says the same.
- She never books on the day of a caller's court date.
What goes to the office
For firms using our guarded booking setup, callers whose details don't match the contact on file are referred to the office for scheduling. Changes to an existing consultation, callers using someone else's phone, and matters the firm doesn't take go to the office.
A caller who already has a consultation on file and wants to move it is told the office will call to confirm. Sara never cancels or moves an existing consultation herself.
What the attorney sees
The consultation appears on the firm's calendar with the caller's name. The attorney gets the call summary and transcript by email. The caller gets a confirmation email when the booking succeeds; if that email cannot be sent, the office is alerted to contact the caller.
